Refund & Deposit Policy

Fair terms

Refund & Deposit
Policy.

How holding deposits work, what is refundable, and the health guarantee that comes with every animal – stated plainly.

Last updated: September 9, 2026. These terms apply to every Mini Cow Hub cattle request until replaced in writing by a farm confirmation email from [email protected].

1. From request to reservation

Sending an order or reservation request does not reserve an animal and does not take any payment. A request becomes a reservation only when all of the following exist in writing: (1) a farm confirmation email naming the animal, total price, deposit amount, and pickup or delivery plan; (2) the agreed deposit received and acknowledged. Until then the animal remains available to other buyers.

2. Holding deposits

  • 50% reservation deposit – confirms the animal to you and is credited in full to the purchase price. Balance due at pickup, or before the animal is loaded for delivery, as confirmed in writing.
  • 25% farm-pickup holding deposit – held against a collection within the agreed window (normally up to 14 days, extendable by arrangement). Credited in full to the purchase price.
  • Deposits cover animals being taken off the market and feed, halter, and vet schedules being dedicated to you. They are not a down payment on an automatic sale – final terms are always confirmed by a human before money moves.

3. 72-hour cooling-off – full refund

Within 72 hours of our written confirmation email, a deposit is refundable in full, no questions asked. After 72 hours the reservation is considered accepted.

4. After the 72 hours

Deposits become non-refundable but transferable: within 60 days you may move the deposit to another Mini Cow Hub animal of equal or greater value (pay the difference; new records apply). Deposits are refunded in full, regardless of timing, if:

  • the animal dies or is found by a licensed veterinarian to have a material pre-existing health condition before pickup/transport – a vet exam within 10 days of confirmation applies;
  • the farm cancels the reservation for any reason;
  • agreed pickup or transport cannot be performed by the farm within the confirmed window and no reschedule is agreed.

5. Final payment

The balance is due at pickup before loading, or on delivery before unloading. Payment instructions are sent only from [email protected] after confirmation, and always verified by a phone call back to the number on file before any transfer is executed. If a balance is not received within the confirmed window, the farm may cancel the reservation after 7 days’ written notice; the deposit is then handled under section 4.

6. Health guarantee

  • In transit: if an animal dies or is critically injured while in transport arranged and operated by the farm, the full price paid is refunded.
  • Arrival window: you have 5 days from pickup or delivery to have a licensed veterinarian examine the animal. If the exam finds a material illness that existed before sale – documented with the vet report emailed to [email protected] within 48 hours of the exam – the animal price is refunded (transport and buyer-side vet fees excluded). Routine transit stress, minor adjustment issues, and expected handling scars are not grounds for refund.
  • Not covered: injury or illness caused after the animal leaves our care, fence, feed, or handling failures, quarantine shortcuts, and ordinary husbandry risk. Keep your vet on speed dial; we will talk to them directly any time.

7. Farm cancellations

If we must cancel – injury, illness, a broken agreement with a consignor, or any other reason – everything you paid is refunded in full within 10 business days and you receive first right of refusal on the next comparable animal.

8. Refund processing

Approved refunds return via the original payment method (Zelle, cash transfer, bank instrument, or digital currency as agreed) within 10 business days. Digital-currency refunds are calculated at the USD amount actually paid, converted at the market rate at processing time.

9. Disputes

We start where every good cattle deal starts: a phone call and a genuine attempt to fix it. If that fails, disputes go to mediation in Colorado before either party files anything. Live animals cannot be “returned” – which is exactly why the guarantee above exists in its place.
